Senior Management Guide
This guide is created to help those who have just been promoted into the Senior Management division. Upon entering the SM division, there is a Code of Conduct task that must be completed in order to be promoted into the next division. This three-part guide will walk you through the SM task and your two new abilities, which are:
Code of Conduct Task
To help members of SM have a better understanding of the Code of Conduct, there is a task that highlights the most recurring and misunderstood rules in HIA. This task will further expand SM members’ knowledge on the Code of Conduct and how to analyze conduct in HIA, as well as assisting members on the process of approving disciplinary logs.
The task can be found below:

The Senior Management task must be completed by all SM rank holders in order to be promoted to the next Division. However, it is only optional to those that buy past the rank.
Approval of Disciplinary Logs
As a PS+ member, you’ve just been enforcing the Code of Conduct at HIA and logging disciplinaries for breaking the Code of Conduct on portal, but as of the SM division, you are now allowed to approve disciplinary logs against other members who are found breaking the Code of Conduct or displaying any other types of inappropriate behavior. The Senior Management division and above (SM+) may approve warnings/strikes/fires that are logged on the portal.
However, they may not approve disciplinary logs for a person in the same division as them or higher (for example, an SM member can not approve a disciplinary log against another SM member). When you are approving a disciplinary log, YOU the approver, MUST BE 1 DIVISION HIGHER than the person logging the disciplinary. [You are not allowed to approve any of your own warnings/strikes/fires with special exceptions to those who are 4iC+ and above.]
Below are the following steps for handling disciplinary reports and approving the disciplinary log:

Personal Assistant (PS) FAQ
What is a PS?
A Personal Secretary (PS) is someone who has the honour of doing tasks for their boss. Tasks include, but are not limited to: interviews, promotions, and training. (At no time is your PS to do your work without you participating and or assisting in completing said task.)
What are the requirements in order to have a PS?
Members that are at least Senior Management or above are allowed to obtain a PS.
Can anyone be my PS?
Your PS must be within the High Rank division or higher. Keep in mind that your PS must be in a lower division than yours. If for any reason your PS was to rank up past your division, you are to dismiss him or her.
How do I make someone my PS?
You can make someone your PS by using any of the following methods: having an interview, making a PS application form, or by simply asking them. It’s recommended that you choose someone that’s active and hard working.
Am I authorized more than one PS?
No. You’re only allowed one Personal Secretary.
I have a PS. What’s next?
Now that you have your PS, you should have them add “(your name)’s PS" into their motto to let the other employees know you have chosen that person as your PS. You can also add them to your portal's profile by accessing your Profile Settings.
Do I have to pay my PS or give them extra promotions?
It’s purely up to you. If promoting, keep in mind that you cannot promote them if they still have your tag from the previous promotion.
How does my PS promote on my behalf?
Your PS must first receive permission in order to use your tag and also have “(your name’s) PS” in their motto. When your PS is logging a promotion on the portal on your behalf, they should do so under their own portal account and add "Promotion on behalf of ______" in the comment section of the promotion log. Their promotion limit will be equivalent to their boss' promotion limit.
Note: BOTH you and your Personal Secretary must have an online time of at least 15 min or more in order to conduct the promotion. Both must also be in base in order to conduct the promotion.
What is my PS’ promotion limit?
Your PS’ promotion limit is extended to that of your own when promoting on your behalf. However, if they are not promoting on your behalf, their promotion limit remains the same as the one assigned for their current division.
As a BOE member or Elective, will my PS’ promotions and training count towards my BOE or Elective quota, requirements or point logs?
No, your PS’ promotions and training logged on behalf of you will not be counted towards your BOE or Elective quota, requirements or point logs. Only promotions and trainings done by you and logged under your own portal account are counted towards these areas.
If they promote on behalf of their boss, will it be counted for the boss' quota or PS' quota?
If your PS' promoted on behalf of you, it will be counted on the PS' quota. This can also serve as your payment to your PS.

[You are not allowed to approve any of your own warnings/strikes/fires with special exceptions to those who are 4iC+ and above.]
Below are the following steps for handling disciplinary reports and approving the disciplinary log:
- When an individual comes up to you to get an approval for a disciplinary, make sure to ask them for the details of the whole situation from their perspective. [Skip this step if you are involved in the situation and if the details are already clear.]
- Have them send you a full screenshot clearly showing the Code of Conduct violation as proof via Discord. The person should upload the screenshots to an image sharing website such as Imgur, Lightshot or Gyazo and send you the link on Discord so you can add it as proof to the disciplinary log on the portal. Reminder: Discord or Slack links are not valid as evidence and should NOT be used in the screenshots portion of the disciplinary log. Screenshots are mandatory to log any warnings/strikes/fires. [Take your own screenshots if you are involved.]
- Look through the evidence/screenshots and evaluate the situation. Using proper judgment, if you believe there is enough evidence to prove that it is indeed a violation of the Code of Conduct, you can give your approval for the disciplinary. If you are logging the disciplinary yourself, make sure to get an approval from someone that is 1 division HIGHER than your current division. [If you are ever confused about what type of disciplinary measure should be taken and given to the offender, request for help from either an LA member, CoS member, or any elective.]

Here are some important things you need to know about hiring a PS
- There are different ways in which one can go about hiring a PS. The usual ways are creating a Google Form and posting it on Discord under the #general PS Application thread. Those who are interested will apply and you can freely choose whoever is best fit for you. You may do interviews to find out more about them. Lastly, you can simply ask someone if they are interested in being your PS.
- Your PS will have the ability to promote workers up to your current promotion limit (even if it exceeds the PS’ own promotion limit.) When a PS is promoting on behalf of you, they should inform the person they are promoting that the promotion is on behalf of their boss. They will need to add in the comment section of the promotion logs : “Promo on behalf of (the boss' username).”. [However, you MUST be in base at the time of the promotion. Also note that the quota will be counted on your PS' quota and not the boss' quota.]
- A PS can also aid their bosses in completing any task that is HIA-related including SU tasks. Your PS has the right to refuse any tasks that aren’t HIA-related or they aren’t comfortable in doing. [Keep in mind that you cannot allow your PS to do a task without you participating or assisting them in some way.]
- How you show your appreciation to your PS is entirely up to you. The common practice is paying your PS once a week for a job well done. Other options (such as buying them HC or ranks) are possible too. [You are not obligated to pay your PS. It should be an agreement between both of you regarding if you will pay them or not.]
